This Privacy Policy explains how Frampol Africa (Pty) Ltd ("Frampol", "we", "us", "our") collects, uses, stores, shares and protects personal information across our websites, web applications and digital services. This policy applies broadly to Frampol's digital properties and is not limited to a single event or client; it specifically covers information collected through the kitft.co.zw website and the KITFT online entry system, which Frampol manages on behalf of the Kariba International Tiger Fish Tournament ("KITFT").

Where Frampol acts on behalf of an Event Partner such as KITFT, Frampol acts as the technical operator of the relevant Service, while the Event Partner remains responsible for tournament-level decisions (such as entry approval and rule enforcement) involving that information.

We only ask for personal information when we genuinely need it to provide a Service to you, and we collect it by fair and lawful means, with your knowledge and consent. Where practical, we let you know why we are collecting particular information and how it will be used at or before the point of collection, including via the relevant sections of this policy.

3.1 Information you provide directly

Contact details: full name, cell number, email address, physical or postal address.
Identification and membership details: NAUZ number, national ID or passport number, club affiliation, country of residence.
Team and tournament information: team name, club name, role (captain, member, reserve/driver), sponsor details.
Medical information: medical aid provider and number, known allergies, next of kin name and contact number.
Payment-related information: proof of payment, payment reference, payment date, receipt number (Frampol does not collect or store full card numbers or online banking credentials).
Boat details: registration number, boat name, make of boat.
Communications: any messages, queries or support requests you send us.

3.2 Information collected automatically

Technical information such as IP address, browser type, device type, and general usage data collected via standard website logging and, where used, analytics or cookies, for the purpose of operating and securing the Services.

3.3 Information from third parties

Where you use the "Existing Team" or "search existing angler" functions, information already held in the KITFT database from prior tournament years may be retrieved and linked to your current entry.

4. How We Use This Information

To process, administer and manage tournament entries, including returning-team and returning-angler lookups in subsequent years;
To verify NAUZ membership, applicable park authority payments, and KITFT entry fee compliance;
To communicate with participants about their entry, including confirmations, approvals, and safety-related communication before or during a tournament;
To operate, secure, and improve the Services, including troubleshooting and preventing fraud or misuse;
To maintain historical tournament records (teams, anglers, boats, entries) to reduce repeat data capture in future years; and
To meet legal, regulatory or contractual obligations, including those owed to Event Partners such as NAUZ and the relevant park authority.

5. Medical Information

Medical information is collected solely for participant safety during a tournament (for example, to inform an appropriate response to a medical emergency on the water) and is treated as sensitive information. Access to medical information is restricted to tournament organisers and medical support personnel who reasonably require it, and it is not displayed in general search results or public team listings. Participants or their captains are asked to confirm or update medical information each year rather than have it assumed to remain correct.

6. Search Results and Data Minimisation

When a captain searches for an existing angler to add to a team, search results display only the angler's first name, surname and NAU number. Sensitive or contact information — including cell number, email address, ID number, medical details, allergies, next of kin information, address, and prior team affiliation — is never shown at the search stage and is only made available once an authorised captain or the angler themselves accesses the relevant record directly.

7. Photography and Media

KITFT and its partners, including Frampol, may capture photographs and video during a tournament for use in tournament promotion, on the KITFT website, and on associated social media channels. Where the entry system provides an option to indicate a media consent preference, that preference will be taken into account, though general event coverage in public tournament areas may still occur regardless of individual preference.

8. How We Share Information

We do not sell personal information to third parties. Limited information may be shared as follows:

With the National Anglers Union of Zimbabwe (NAUZ), for membership verification purposes;
With the Zimbabwe Parks and Wildlife Management Authority, or equivalent authority, where required for park fee compliance;
With service providers who process data on our behalf, such as our cloud hosting and document storage provider (Microsoft 365 / SharePoint) and payment-verification tools, under appropriate confidentiality and processing terms;
Within the KITFT committee and relevant tournament administrators, to the extent necessary to review, approve or manage entries; and
Where required by law, regulation, or a valid legal process.

10. Data Storage and Security

Information submitted through the Services is stored in Frampol-managed systems, including a dedicated database for the KITFT entry system and Microsoft 365 / SharePoint for document storage and internal synchronisation. We apply reasonable technical and organisational measures — including access controls, restricted admin permissions, and secure transmission — to protect personal information against unauthorised access, loss or misuse. No system can be guaranteed completely secure, and participants are encouraged to keep any verification codes or account access confidential.

11. Data Retention

Team, angler and boat records are retained across tournament years to support returning-team and returning-angler registration in future seasons and to maintain a reliable historical tournament database. Medical information is retained only for as long as reasonably necessary for participant safety purposes and is reviewed each tournament year. We only retain personal information for as long as necessary to provide you with the relevant Service or historical-record purpose described in this policy. Participants may request correction of their own details at any time via the "Update My Details" feature of the online entry system, or by contacting us directly.

12. Your Rights and Choices

Subject to applicable law, you may have the right to access, correct, or request deletion of your personal information, and to ask how your information has been used. You can update most of your own details directly via "Update My Details". For anything not covered by that feature, or for medical or historical records, please contact us using the details below and we will respond within a reasonable time.

You are free to decline to provide personal information we request. However, please note that if you do so, we may be unable to process your tournament entry, verify your NAUZ membership, or provide certain other Services that depend on that information.

13. Children's Information

The Services are intended for use by adults completing tournament entries on behalf of themselves and their team. Where a minor participates in a tournament, the relevant details are expected to be submitted by a parent, guardian or team captain acting on the minor's behalf, and such captains are responsible for ensuring they have the appropriate authority and consent to do so.

14. International Participants

KITFT welcomes international entries. Where a participant is based outside Zimbabwe, their information may still be processed and stored in Zimbabwe or in the cloud services described in this policy, in each case with appropriate safeguards.

15. Changes to This Policy

Your continued use of our website(s) and Services after changes to this Privacy Policy are published will be regarded as acceptance of our practices around privacy and personal information. We may update this Privacy Policy from time to time to reflect changes in our practices, the Services, or applicable law. The updated policy will be published on the relevant website with a revised effective date.
